You liked the demo. Now you own the part nobody enjoys, which is turning it into one number a CFO will sign without asking what changed between the quote and the first invoice.

How Agent Builder pricing scales per workspace, not per user
One component does scale with usage, and it's a named, published, workspace-level number: Agent Builder.

Because it's priced per workspace, agent volume never multiplies by headcount. A 260-seat org running agents hard pays the same $999 a month as a 40-seat org running them equally hard.
That matters for the line you'll be asked about in the budget review. If the team leans into agents next year, the incremental cost is a tier change you can point at, not a variable you discover in month seven.

Where call recording sits in Weflow's packaging
Call recording lives in Weflow Conversation Intelligence, not in Weflow Activity & Contact Capture. If your team wants meeting recordings, transcripts, or AI field updates from calls, the $19 capture seat won't do it.
We're stating that plainly because it's where expectations break in week one of a rollout. Somebody sizes a capture-only deployment, tells the sales leader recordings are coming, and then has to go back for more budget.

One more line item that isn't a line item: storage. Video files export through the public API to your own cloud storage, while transcripts and the structured outputs land in native Salesforce objects. You're not billed for gigabytes of recordings sitting in someone else's cloud.
One bundle for everyone, or plans per role group?
There are three legitimate ways to buy Weflow, and the right one depends on who genuinely uses what, what's already under contract elsewhere, and how much of the org you're expected to cover with money that's already approved.
Before you pick, get honest about four things:
- Per-group usage. Which groups will run customer calls, which will only need activity in the CRM, and which will actually open a forecast tab.
- Existing renewals. A forecasting contract that runs another eight months takes forecasting off the table for now, whatever the demo showed.
- Defensibility. The number has to be explainable to whoever signs it in about one line. If you can't say it out loud, it isn't ready.
- Rollout appetite. Some teams want everyone live in one wave. Others want four users in two regions first, to find out how painful the setup really is.
Option 1: one bundle across every seat
Put everyone on the same bundle and you get the cleanest sentence in the room: 260 users at $79, one number, one line, done.
When it fits:
- Most roles genuinely run customer conversations and work pipeline, so the capability gap between groups is small.
- You'd rather spend your political capital on getting the tool approved than on defending a tiered allocation.
- The org is small enough that the difference between tiers is a rounding error in the budget.
When it doesn't:
- Half the seats will open one module. You're then paying $79 for a $19 job, at scale.
- Your total is high enough that finance will ask what each group actually uses, and you won't have an answer.
Option 2: match each role group to one product
Because the three products sell standalone, most seats can sit on capture while only the groups that run deals and forecasts carry the fuller plans. This is the option built for the pain we hear most often on rollout calls: cover the most people with the budget you already have.

Note the last row. Unlimited free view-only licenses are the reason a headcount number that grew from 150 to 260 doesn't have to grow the budget by the same ratio. A lot of the people on that list are readers, not users.
Option 3: start with capture, expand into forecasting later
If a forecasting renewal is already signed, you're not blocked. Land on the capability the team doesn't own, then expand.
The mechanics: Revenue AI Foundation at $49 covers activity capture and conversation intelligence, and moving to Revenue AI Enterprise at $79 adds deal intelligence and forecasting for $30 more per user per month. That's an expansion conversation, not a second procurement cycle.
We packaged it this way deliberately, as a CFO who signed a forecasting renewal three months ago will not approve a second forecasting tool, no matter how the demo went, so the entry point has to be something they don't already own.
How to group roles so you don't over-buy
For most mixed teams, we'd recommend option 2, executed deliberately rather than guessed at. The criteria point there: per-group usage varies widely in a real org, the number has to survive a line-by-line review, and the free view-only tier means uniform pricing is buying access you can already get for nothing.
Here's the method. Do it in this order, because the seat count you started with is almost never the seat count you end with.
- List users by capability, not by title. Who needs activity in Salesforce, who runs recorded customer conversations, who inspects deals, who submits or reviews a forecast, who only reads.
- Pull the read-only group out first. Every name that only consumes recordings, summaries, and dashboards goes on a free view-only license and leaves the paid count.
- Group the rest into no more than four buckets. More than four and you've rebuilt the per-module build-up you hate.
- Price each bucket at its tier. Standalone where a group uses one product, a bundle where a group crosses two or three.
- Sum it, then sanity-check the biggest bucket. If the largest group is on the most expensive plan, go back and test whether they really open all of it.
- Decide the contract term last. Two years takes 10% off, three years takes 20%, and that's a lever you use once the allocation is settled rather than a way to fix a total you don't believe.
A worked example on a 260-seat rollout, at list prices:

The same 260 seats on Revenue AI Enterprise across the board is $246,480 a year. Grouping deliberately is worth about $122,000, and a two-year term takes another 10% off whichever number you land on.
How to present it to finance: one line per group, the plan name, the seat count, the annual, and a total. That's the whole slide.
What this framework does not do is remove the internal budget conversation. You still have to defend why 100 people need recording and 120 don't, and someone will argue with your buckets. It just means you walk in with a number you built and can rebuild in front of them, instead of one you inherited from a hallway conversation.
Weflow vs Gong pricing: reading the line items
This question comes up on almost every evaluation call, usually phrased exactly like this:
"if I'm spending in the 75k range with Gong, what would I expect to spend with you, give or take."
The honest answer starts with structure, not a total, because the two quotes are built differently. Gong doesn't publish pricing, so the figures below are our read from the quotes buyers bring into these conversations.

Run the math on 40 seats:
- Gong at $5,000 platform plus 40 seats at $1,600 plus Forecast Essentials at $300 a seat lands around $81,000 a year before implementation.
- The same 40 seats on Revenue AI Enterprise, which is every Weflow product including forecasting, is $37,920 a year at list.
Is Weflow really half the price of Gong and with better AI?
Now the part buyers push on, and should: what's missing at that price? Half the price but is it the same value? Yes, Weflow really offers better value that Gong, and half the price.
The gap is when the product was built, not what it does.
Gong set its pricing when transcription was genuinely expensive, and it carries roughly $300 million in ARR against a valuation last reported near $7 billion, which creates growth expectations the pricing has to keep justifying. The same capability can be built at a materially lower cost base today. That's the mechanism, and it's checkable against a side-by-side trial rather than an argument.
Credit where it's due. Gong's Foundation tier is a real product: interaction capture, keyword and smart trackers, Ask Anything, basic analytics. Gong logs activity to Salesforce, and it answers methodology questions across every call on an account rather than one call at a time, which is the view a manager reviewing an 18-month cycle needs. Managers like it, and reps treat it as a perk. None of that is nothing.
Where Weflow wins is what happens to the conversation afterwards. Weflow writes structured Salesforce fields from calls, auto-creates missing contacts and sets opportunity contact roles, and gives reps an add-in to see and correct which Salesforce record an email maps to. Teams switching from Gong typically see 30 to 35% more emails and meetings captured.
And the limits, stated plainly so you can disqualify us fast if they apply: Weflow works exclusively with Salesforce, VoIP and phone call capture isn't available today, and we're not FedRAMP certified.

The honest constraints: 10 users and annual billing means Weflow isn't the answer for a five-person team that wants month-to-month flexibility. If that's you, stay where you are for now.
