The Challenge

United FinTech is a global platform that acquires and scales capital markets software companies. As Senior Revenue Operations Manager, Rugile Pudzevelyte is responsible for driving alignment, efficiency, and transparency across their go-to-market operations, spanning sales and other commercial teams.

With a distributed GTM org and complex customer journeys, she needed a way to track all sales activity in Salesforce, pre- and post-opportunity.

One of the most pressing pain points: sales activity data wasn’t complete or usable. The team initially tried solving this using Einstein Activity Capture (EAC), but quickly ran into issues.

"We looked into Einstein for a really long time. It was impossible to properly use it, and there were small things that continuously broke our setup or were unreliable."
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

Before Weflow, the team relied on manual Salesforce plugins and add-ons for activity logging. It was tedious for salespeople and led to frequent gaps, especially for meetings.

“We had a lot of missing activities. Salespeople were manually logging with Outlook plugins, and things slipped through.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

Sales reps were spending too much time logging data, and Rugile had a clear hypothesis: higher-quality, more consistent activity would shorten sales cycles and improve win rates. But without full visibility into emails and meetings, she couldn’t prove it - or optimize around it.

“We saw that deals with more activities tended to close faster. But we couldn’t prove it without a full view of the activity data.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

The challenge wasn’t just about sales productivity - it was also about enabling data-driven decision making. During a recent investment round, the team needed to clearly connect top-line KPIs like revenue and pipeline to underlying sales behavior.

“We always believed that revenue and pipeline are driven by the bottom layer of data: activities. But without full activity capture, we couldn’t see the full story.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

Improving visibility across teams to enable cross-sell opportunities

As United FinTech expanded its go-to-market strategy, Rugile’s team identified another critical gap: the inability to get a unified view of upcoming meetings across different teams and markets.

Sales reps lacked visibility into what was happening across accounts, making collaboration and cross-selling efforts difficult.

“We wanted salespeople to have a clear overview of what’s happening in other areas - not just their own pipeline. Especially as we push for more cross-sells, that visibility is key.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

Getting these insights was manual and time-consuming, often requiring team members to piece together insights from different calendars or CRM records.

‍

The Solution

United FinTech evaluated multiple tools, including Cirrus Insight and MatchMyEmail, but most lacked the level of automation and flexibility needed.

Many still relied on semi-automated workflows, which brought back the same manual friction they were trying to avoid.

‍“None of the other tools gave us a full solution like Weflow. Most still relied on Outlook plugins for semi-automation - exactly what we were trying to move away from.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

Weflow stood out for its deep Salesforce integration, automated activity capture, and its ability to work seamlessly with Outlook.

‍

Fast, centralized setup

Implementation with Weflow was fast and frictionless, which was especially important for a growing operations team that couldn’t afford another drawn-out roll-out.

Unlike tools that require weeks of setup or custom integration work, Weflow’s activity capture was up and running in less than an hour.

“From the beginning, we had a really smooth process with Weflow. The team helped us get started quickly.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

Instead of spending weeks on manual user installs, United Fintech’s team rolled out Weflow centrally in just a few steps:

  • OAuth-based authentication connected Salesforce & Outlook securely in minutes
  • Admin controls allowed Rugile’s team to define logging rules globally across the organization without chasing individual users
  • Central user configuration allows UnitedFintech to easily add, remove, and manage users without individual plugin set-ups or training

This centralized approach gave Rugile’s team full control, without the headaches of managing individual user-level configurations.

‍

Smart logging rules for full control

After quickly setting up the integration, UnitedFintech customized its setup centrally to capture only the most relevant activities.

Among other granular settings, they decided to:

  • Exclude internal emails from being logged
  • Filter out internal meetings
  • Define logging rules by object type (Accounts, Opportunities, Contacts) to reduce clutter

This flexibility meant that Weflow could be shaped to fit UnitedFintech’s exact needs, rather than forcing the team to adapt to the tool.

‍

A setup for maximum data accuracy and efficiency

The team chose a hybrid approach: most reps benefit from fully automated background email and meeting capture, while also having access to an Outlook Add-In for greater control and visibility.

This gives the team the best of both worlds:

  • Reps stay hands-off by default - relevant emails and meetings are captured and synced to Salesforce automatically.
  • Reps can use Weflow’s Outlook Add-In to see how an activity will be mapped - and adjust it if needed.

This optional manual control is especially useful for complex opportunities, like accounts with multiple open deals.

“The biggest win is the ability to automate everything with minimal user interaction.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

This hybrid flexibility lets United FinTech:

  • Maximize data quality without burdening sales reps
  • Ensure accurate activity-to-opportunity mapping
  • Saving hours of manual data entry from reps

Reps no longer need to spend time manually logging data - and admins no longer need to chase them for updates.

The result: clean, accurate data for RevOps, and a frictionless experience for the sales team. This setup restored UnitedFintech’s confidence in Salesforce as a source of truth.

The Outcome

United FinTech now uses Weflow to fully automate activity capture for GTM users across different business units.

3x increase in captured activities

Since switching to Weflow, the team saw a dramatic increase in tracked activities. At first, the team assumed this might be noise. But after manual validation, it was clear: these were real, valuable interactions that had been slipping through the cracks.

“We thought it was just wrong data - but we looked manually and realized this is the amount of insight we were missing before.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

‍

More time for selling

Sales reps quickly embraced the new system, appreciating that they no longer needed to spend time manually logging every email or meeting. The team’s feedback was clear:

“At first reps were hesitant, but now they say, ‘I don’t have to do this anymore - I can spend that time on selling.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

‍

Real-time activity data to power KPIs

With full visibility into meetings and emails, Rugile’s team can now connect activities to sales outcomes - and validated her hypotheses around rep behavior, sales velocity, and account engagement.

“We saw that deals with more activities tended to close faster. Now we can prove that.”
— Rugile Pudzevelyte, Head of Revenue Operations at United Fintech

With Weflow fully embedded into their GTM tech stack, United FinTech has laid the foundation for a more data-driven, accountable sales process. Activity capture is no longer a bottleneck - it’s a reliable, automated engine that powers productivity, reporting, and process optimization.
