How it works

Agent breakdown

A blueprint to adapt, not a fixed recipe. Set the trigger, thresholds, and methodology that fit your team, and each step builds on the last, using the conversation and CRM context you already capture.

1
TriggerStep 1 of 6

Run on the question itself

When a rep in their first ninety days asks a question, the agent starts with the question itself. There is nothing to look up first, so it can move straight to finding an answer in the written guidance.

  • Trigger: A rep inside their first ninety days asks a question
  • Input: The question as the rep asked it
  • Lookup before answering: None

ActionStep 2 of 6

Answer from what is written down

The agent answers the question using only the internal knowledge base and playbooks. It quotes a source for every claim, so the rep can see where the answer came from. If the written guidance does not answer the question, it says so and names the team that would know.

Prompt

Answer the new rep's question using only the internal knowledge base and the playbooks.

Input: the question as the rep asked it.

  • Answer only with information supported by the internal knowledge base or playbooks.
  • For every claim, quote the supporting source and name the knowledge base article or playbook it came from.
  • Include the link for each source used.
  • If the written guidance does not answer all or part of the question, say which part is not covered and name the team that would know.

Rules: do not infer an answer or use outside knowledge. Keep supported guidance separate from anything the written sources do not cover.

Return the answer, followed by the source quotes and links. If the question is not fully answered, finish by naming the team that would know.

Rewrite it for a new starter

Next, the agent rewrites the answer for somebody in their first month. It expands internal shorthand and names the systems involved, rather than assuming the rep already knows the terms or where the work happens.

Prompt

Rewrite the sourced answer for somebody in their first month.

Input: the answer, source quotes, source links, and any team named in the previous step.

  • Use plain language that a new starter can follow.
  • Expand every piece of internal shorthand the first time it appears.
  • Name the systems involved instead of assuming the reader knows which system a step refers to.
  • Keep every claim tied to its original source.
  • Keep any statement that the written guidance does not answer the question, along with the team that would know.

Rules: do not add instructions, claims, systems, or terminology that were not in the sourced answer. Do not remove or change the source quotes and links.

Return the rewritten answer with its source links, ready to post in the rep's thread.

Log what was asked

After the answer is ready, the agent logs the question with its topic and sources. This lets Enablement see when the same question has been asked three times and treat it as a gap in onboarding, rather than as three separate answers.

  • Tags: Topic and source
  • Flags: Repeat questions

Reply in the thread

Finally, the agent replies in the same thread where the rep asked the question. It includes a link to every source, so the rep can check the written guidance behind the answer. Where the sources do not provide an answer, it escalates the question to the team named in the response.

  • Recipient: The rep, in the original thread
  • Includes: A link for every source
  • Escalates: To the named team
Output

A sourced answer in the rep's thread and a logged question for Enablement

Give each new rep an answer they can use in their first month, posted in the thread where they asked and linked back to the internal guidance behind it. Enablement gets a record of the question, its topic, and its sources, with repeat questions flagged as gaps in onboarding.

  • For new reps: Read the answer in the original thread and open the source links when you need more detail.
  • For Enablement: Review repeat questions and use them to find where onboarding or written guidance needs more coverage.
