Follow-up Email Agent

Draft the follow-up email in the rep’s own voice, quote the commitments made on the call, and leave it in their inbox to edit and send.

  • Trigger: a sales or CS call ends and its transcript is ready
  • AI steps: draft the follow-up from the transcript, deal context, and earlier emails
  • Output: the draft emailed to the rep, never to the buyer

Follow-up Email Agent: a call ends, the transcript, deal fields and earlier emails feed an AI step, and a follow-up draft lands in the rep’s inbox unsent
How it works

Agent breakdown

A blueprint to adapt, not a fixed recipe. Set the trigger, thresholds, and methodology that fit your team, and each step builds on the last, using the conversation and CRM context you already capture.

1
TriggerStep 1 of 6

Run when a sales or CS call ends

The agent starts after a sales or customer success call ends and the transcript is ready. This gives it the conversation it needs to draft a follow-up with the commitments and next steps you discussed.

  • Trigger: A sales or CS call ends and its transcript is available
  • Optional filter: Only include calls linked to an open opportunity
2
ActionStep 2 of 6

Pull the call transcript

The agent retrieves the transcript for that call and checks that it included someone outside your team. It uses the transcript to identify what each person agreed to do and any dates they confirmed.

  • Include: The transcript of the call that triggered the agent
  • Skip: Internal team calls

ActionStep 3 of 6

Get the deal and account context

Next, the agent pulls the deal’s stage, next step, close date, and contacts, along with your earlier emails on the deal. The deal details help it understand the conversation in context. Your emails show it how you usually write, including your greeting, tone, and sign-off.

  • Deal fields: Stage, next step, close date, and contacts
  • Writing examples: Your previous emails on the deal

ActionStep 4 of 6

Draft the follow-up email

The agent drafts a short follow-up using the call transcript and your earlier emails as a guide to your writing style. It summarizes what each person agreed to do and includes the next step and date when you confirmed them on the call.

You get a subject line and an email body under 150 words to review before sending.

Prompt

Write a follow-up email for the call in the transcript. Use the rep’s earlier emails on this deal to match their tone, greeting, and sign-off.

Input: The call transcript; the opportunity’s stage, next step, close date, and contacts; and the rep’s previous emails on the deal.

  1. Start with a brief thank you that refers to something specific from the call.
  2. Summarize the commitments made by both the buyer and the rep. Quote or closely paraphrase each commitment and name who agreed to it.
  3. Include the next step and its date if they were agreed on the call.
  4. End with the rep’s usual sign-off.

Keep the email body under 150 words. Only include commitments, next steps, and dates supported by the transcript. Use the CRM fields for context; do not present them as agreements unless the call confirms them. Leave out internal notes and private team comments about the buyer.

Address the draft to the main buyer contact on the call and suggest copying the other buyer attendees. Do not send the email.

Return a subject line and the email body for the rep to review.

OutputStep 5 of 6

Send the draft to the rep

The agent emails the suggested follow-up to the rep who ran the call. You can review the wording and commitments, make any edits, and send the follow-up to the buyer from your own inbox.

  • Recipient: The rep who ran the call
  • Internal email subject: Follow-up draft for the account
  • The rep reviews and sends the buyer-facing email
Output

A ready-to-send follow-up email in the rep’s inbox after every external call

Get a follow-up draft in your inbox after each external sales or CS call, written in your own voice and based on what was actually agreed. The draft quotes each commitment, names who made it, and leaves the final edit and send with you.

The follow-up draft the agent leaves in the rep’s inbox: what both sides agreed on the call, the next step, and a not-sent status until the rep reviews it
