What is Salesforce activity capture?

Activity capture is the process of automatically logging customer and employee emails and meetings into Salesforce, then syncing them to the right records (Contact, Account, Opportunity, Lead). It can be done manually, but manual logging captures fewer than 28% of activities, which leaves big gaps in pipeline visibility, reporting, and forecasting.

Why is manual activity logging unreliable?

Reps forget, skip steps, or log inconsistently under quota pressure. The result is incomplete records that break activity-based reporting and force RevOps to rebuild deal history by hand. Automatic logging captures over 98% of activities in the background while still giving reps controls when they need them.

What are the limitations of Einstein Activity Capture?

EAC stores activities on Hyperforce servers instead of core Salesforce objects, so the data isn't queryable through standard reports, Flows, or SOQL. It also limits automation, can't migrate data out, doesn't support aliases, and makes opportunity-level logging difficult. It works for basic activity sync, but not for teams that need reporting, automation, or long-term data ownership.

Should I use the Task object or the EmailMessage object?

We recommend the Enhanced Email Object (EmailMessage). It stores the full HTML email with FROM, TO, CC context, supports custom fields and workflows, and quietly creates a Task in the background for activity timelines. Custom email objects are best avoided because they break compatibility with EAC and most third-party vendors.

What should I check when evaluating an activity capture vendor?

Run a real pilot in your environment, make them explain the logging logic in detail, and confirm they write to standard Salesforce objects (Task, EmailMessage, Event). Can I combine automatic logging with manual controls?

Yes, and you should. The best setup logs activities automatically in the background for completeness, while giving reps granular controls in Gmail or Outlook to exclude specific emails, domains, or contacts. That gets you reliable data without sacrificing flexibility or privacy.
